This issue maily cause by HTML coding. GMail is most frequent for using a web-based email client. In some cases, the message is

correctly spaced when received and only double Spaced when replied to.

The Causes of this is issues.

When you press Enter while creating HTML email, Outlook inserts a paragraph tag (

), so two Enters inserts two

tags,

which is double spaced when rendered in a browser. If you use Shift+Enter, which creates the link Break tag (

will not look double spaced in a browser. This will look ok in mail client.

The solution of this issue.

You have 5 options:

1. Use plain text for messages. Plain text will look ok in any and every email client available.
2. Press Enter once, not twice, when composing HTML formatted email.
3. Press Shift+Enter twice at the end of a paragraph, rather than pressing Enter twice.
4. Just ignore it as an inconstancy in the way various applications handle HTML.
5. Edit the email template to add '12 points after' in the Normal style.

In Outlook 2007 : First off all you close the microsoft outlook. Then try search or locate the NormalEmail.dotm and open it for

editing. In Vista the template folder location is C:\users\Usersname\AppData\Roaming\Microsoft\Tempaltes. To easily access this

foder in Windows XP or Vista , Paste %appdata%\Microsoft\Template in run command.

in the Start search dialog (Vista) or the address bar of Windows Explorer.

1. Right click on NormalEmail.dotm and choose Open. This will open the template in Word as a template.
2. Right click on the Normal style button in the ribbon and chose Modify.
3. Click Format in the lower left and choose Paragraph.
4. In the Spacing section, change the After value to 12 points.
5. Save and close the template.

After that when you write a new message you'll press enter once and have white space when recipients read the message in any

client or web browser. Replies will use the style sheet of the original message.

Problem: Outlook is sending unknown messages

In Outlook Most of the user have problem with unknown message. Their Outlook keeps sending unknown messages.This problem seems to be most common with IMAP accounts. In many cases the messages are undeliverable and are returned to your mailbox as an NDR.

We are seeing that from users that suspect Outlook is ending Spam. Most of the users think that their computer is infected with some spyware or unknown spambot. but it's not true. it's a bug in how Outlook 2007 responds to read Receipt request for junk Email.

Mostly Spam occasionally includes requests for read receipts. In many of the cases this is so the spammer can check for valid email addresses but most of the time it’s not intentional or the spammer just wants to be doubly annoying since the sender’s address is invalid.

The only difference between Read and Not Read receipts is the subject is prefixed with 'read', instead of 'not read' and the text says it was "read on [date]".

Main Causes of this issue:

Mainly in Microsoft outlook Newer Version Of Outlook offer the ability to control, If read receipts are sent but there may be a bug with IMAP accounts and read receipts in Outlook 2007. When you move messages

with a receipt request to the Junk E-mail folder and empty the Junk E-mail folder using another client, the setting in Tools, Options, Email Options, Tracking Options may be ignored.

The steps to repro are as follows:

1. Send yourself some messages with receipts requested and move them to Junk E-mail.
2. Sync with IMAP and update all folders then close Outlook.
3. Empty junk email folder using a different client.
4. Reopen outlook.
5. When outlook updates the folder, it ignores the Tracking setting and always returns receipts as it syncs the junk mail folder, purging the messages deleted from the other client.

Workaround

Until Microsoft releases a fix, do the following:

1. Always mark messages as read before emptying the Junk Email folder.
2. Always empty the Junk Email folder from Outlook.

If you Still do not want to send receipts back, set your Microsoft Outlook to never ask and never send, otherwise set Your microsoft Outlook to always ask before sending.

How to configure Outlook to use an MSN POP3 account

1. In Windows XP, click Start, and then click Run. Copy and paste (or type) the following command in the Open box, and then press ENTER:

2. If you see the Pick a category view, click User Accounts.

If you do not see the Pick a category view, go to step 3.
3. Double-click Mail.
4. Click E-mail Accounts. The Account Settings window appears.
5. On the E-mail tab, on the left side of the Account Settings window, click New.
6. Click Microsoft Exchange, POP3, IMAP, or HTTP, and then click Next.
7. Click to select the Manually configure server settings or additional server types check box, and then click Next.
8. Click Internet E-mail, and then click Next.
9. On the Add New E-mail Account screen, type the following setting information:
a. In the Your Name box, type your name as you want it to appear to recipients.
b. In the E-mail Address box, type your e-mail address. For example, type yourusername@msn.com.
c. In Account Type, select POP3.
d. In the Incoming Mail Server box, type pop3.email.msn.com.
e. In the Outgoing Mail Server (SMTP) box, type smtp.email.msn.com.
f. In the User Name box, type your MSN account name.
g. In the Password box, type your MSN password.
h. Select the Remember Password check box, if you want to save it.
i. Select the Require logon using Secure Password Authentication (SPA) check box.
10. On the right side of the Add New E-Mail Account screen, click Test Account Settings. If you receive no errors, your e-mail account is set up correctly.

If you receive an error, make sure that you have entered all the information correctly, and then click Test Account Settings again. If all the information is correct and you continue to receive errors, go to the "Next steps" section for additional help.
11. Click Next, and then click Finish.
When you have completed these steps, try to send an e-mail message to yourself to make sure that Outlook is set up correctly. When the e-mail arrives, try to reply to it.

If you choose not to convert during Setup, you can convert at a later time by using the "Import and Export Wizard." Outlook provides a tool to assist you in converting Windows Address Book information.

In Outlook, you can use the Import and Export Wizard as the interface for Address Book conversion. To convert a Windows Address Book file, follow these steps:
1. Start Outlook.
2. On the File menu, click Import and Export.
3. Click Import Internet Mail and Addresses, and then click Next.
4. Click Outlook Express 4.x, 5 on the list.

Note In Microsoft Office Outlook 2003, the option is Outlook Express 4.x, 5.x, 6.x. In Outlook 2007, the option is Outlook Express 4.x, 5.x, 6.x or Windows Mail,

5. Select any combination of the Mail or Addresses from the items that are listed.

Note With the exception of rules conversion from Outlook Express, the steps to convert addresses are the same.
6. Click Next. If you are using Outlook 2003 or Outlook 2007, go to step 8.
7. Select a destination for the imported address data.
8. Select the appropriate duplicate items option, and then click Finish.

Note This procedure does not import contacts that are contained in subfolders in the Windows Address Book.
