Microsoft Outlook and Microsoft Outlook Express are two different programs with different capabilities, although both can send and receive messages from the Internet. There are two ways to share contact information between these two programs.

If, during Outlook Setup, you choose to upgrade a program that uses the Windows Address Book, Setup will do a silent conversion of the address entries to the Contact format used by Outlook.

If you choose not to convert during Setup, you can convert at a later time by using the "Import and Export Wizard." Outlook provides a tool to assist you in converting Windows Address Book information.

In Outlook, you can use the Import and Export Wizard as the interface for Address Book conversion. To convert a Windows Address Book file, follow these steps:
1. Start Outlook.
2. On the File menu, click Import and Export.
3. Click Import Internet Mail and Addresses, and then click Next.
4. Click Outlook Express 4.x, 5 on the list.

Note In Microsoft Office Outlook 2003, the option is Outlook Express 4.x, 5.x, 6.x. In Outlook 2007, the option is Outlook Express 4.x, 5.x, 6.x or Windows Mail,

5. Select any combination of the Mail or Addresses from the items that are listed.

Note With the exception of rules conversion from Outlook Express, the steps to convert addresses are the same.
6. Click Next. If you are using Outlook 2003 or Outlook 2007, go to step 8.
7. Select a destination for the imported address data.
8. Select the appropriate duplicate items option, and then click Finish.

Note This procedure does not import contacts that are contained in subfolders in the Windows Address Book.

POP3 Login Fails for Exchange Server 2007 Users With Long UPN


This problem occurs because Exchange Server 2007 has its “MaxCommandSize” setting for POP3 configured to use the value "40" by default. This limits the maximum size of a single command to 40 bytes. Some users with long UPN (like testuserwithverylongname@myemaildomainame.com) may fail to connect due to this limit.

Resolution

You can resolve this problem through following method:

Method 1: Increase the value of MaxCommandSize from Exchange Management Shell

1. Click Start, click All Programs, click Microsoft Exchange Server 2007 and click Exchange Management Shell.
2. Run the following cmdlet to verify the current value of MaxCommandSize:
Get-POPSettings
In the output, the value of MaxCommandSize is 40 by default.
3. Run the following cmdlet to increase the value of MaxCommandSize:
Set-POPSettings -MaxCommandSize 46
In this example, we increased it to 46. The possible values are from 40 to 1024 (bytes).
4. Restart the Microsoft Exchange POP3 service.


Method 2: Increase the value of MSExchPopImapCommandSize by using the Active Directory Service Interfaces (ADSI) Edit snap-in.

To do this, follow these steps:

Note: ADSI Edit is included with the Microsoft Windows Server 2003 Support Tools. To install the Windows Server 2003 Support Tools, double-click Suptools.msi in the Support\Tools folder on the Windows Server 2003 CD.

Warning: If you use the ADSI Edit snap-in, the LDP utility, or any other LDAP version 3 client, and you incorrectly modify the attributes of Active Directory objects, you can cause serious problems. These problems may require you to reinstall Microsoft Windows 2000 Server, Microsoft Windows Server 2003, Microsoft Exchange 2000 Server, Microsoft Exchange Server 2003, Microsoft Exchange Server 2007 or both Windows and Exchange. Microsoft cannot guarantee that problems that occur if you incorrectly modify Active Directory object attributes can be solved. Modify these attributes at your own risk.

1.Click Start, point to All Programs, point to Windows Support Tools, and then click Command Prompt.
2.At the command prompt, type adsiedit.msc , and then press ENTER.
3.Connect to a domain controller if you are not already connected.
4.Expand Configuration Container [ computername.contoso.com ], expand CN=Configuration,DC= contoso ,DC=com, expand CN=Services, expand CN=Microsoft Exchange, expand CN=Administrative Groups, expand CN=Exchange Administrative Groups, expand CN=, expand CN=Services Protocols, expand CN=POP3, right-click CN=1, and then click Properties.
Note In this step, contoso.com is a placeholder for the domain name. The other words in italic are also placeholders.
5.In the CN=1 Properties dialog box, locate and then double-click the MSExchPopImapCommandSize attribute.
6.Change the value of MSExchPopImapCommandSize attribute to 46, and then click OK to close ADSI Edit.
Note In this example, we increased it to 46. The possible values are from 40 to 1024 (bytes).
7.Restart the Microsoft Exchange POP3 service.

Microsoft Office Outlook Connector

How to Use Outlook with Covad.net


You can use Outlook with your Covad.net e-mail account. The following steps set up Outlook to both receive and send e-mail messages with your Covad.net account.

Note You can receive your Covad.net e-mail messages by using Outlook from most places with an Internet connection. However, to send e-mail messages, you must be connected directly to the Covad.net service or use an alternate Simple Mail Transfer Protocol (SMTP) e-mail server on the service you are using at that location. For example, if you want to check your Covad.net e-mail account at work, configure Outlook to use your work SMTP server to send messages.

Do one of the following:

Add your Covad.net e-mail account

  1. On the Tools menu, click E-mail Accounts.
  2. Click Add a new e-mail account, and then click Next.
  3. Click POP3, and then click Next.
  4. Under User Information, do the following:
    1. In the Your Name box, type your full name the way that you want it to appear to other people.
    2. In the E-mail Address box, type your e-mail user name, followed by @covad.net.
  5. Under Server Information, do the following:
    1. In the Incoming mail server (POP3) box, type pop3.covad.net.
    2. In the Outgoing mail server (SMTP) box, type smtp.covad.net.
  6. Under Logon Information, do the following:
    1. In the User Name box, type your user name provided by Covad.net.
    2. In the Password box, type your password.
    3. Select the Remember password check box.

Note You have the option to have Outlook remember your password by typing it in the Password box and selecting the Remember password check box. Having Outlook remember your password means that you won't have to type your password each time you access the account; however, it also means that the account is vulnerable to anyone who has access to your computer.Use strong passwords that combine upper- and lowercase letters, numbers, and symbols. What is a Microsoft Exchange account?


Some features in Outlook require you to use a Microsoft Exchange account. Exchange is an e-mail-based collaborative communications server for businesses. Lately I have been getting more and more unsolicited commercial email ("Junk email," also called "spam"). And, frankly, I'm damn sick of it.
This site is directed primarily at the victims of junk email, which generally means recipients, although junk emailers certainly cause systems operators and others big headaches, as well. Our goal is to eliminate all junk email.
To accomplish this goal, we will attempt to teach victims and potential victims (that's everyone with an email address) the most effective methods of prevention and retribution. We also hope to get current and potential junk emailers to see the error of their ways by making them see it from the victim's point of view, and getting them to understand why postage-due marketing isn't very effective. Follow these guidelines to help lower your risk of receiving junk e-mail.
1. Take advantage of the Junk E-mail Filter in Microsoft Office Outlook 2007 Office Outlook 2007 helps to mitigate the problem of spam by providing the Junk E-mail Filter, which automatically evaluates incoming messages and sends those identified as spam to the Junk E-mail folder.
2. Block pictures in HTML messages that spammers use as Web beacons Office Outlook 2007 has an additional anti-spam feature. By default, this feature blocks automatic picture downloads and other external content in messages if the content is linked to a server. If you open a message that has external content when this feature is turned off, the external content downloads automatically, inadvertently verifying to the server that your e-mail address is a valid one. Your e-mail address can then be sold to a spammer. You can unblock external content for messages that come from sources that you trust. 3. Turn off read and delivery receipts and automatic processing of meeting requests Spammers sometimes resort to sending meeting requests and messages that include requests for read and delivery receipts. Responding to such meeting requests and read receipts might help spammers to verify your e-mail address. You can turn off this functionality. However, read and delivery receipts and automatic processing of meeting requests are useful features that you should not be afraid to use within a secure corporate network.
Note Delivery receipts can be turned off only by your e-mail server administrator.
Turn off read receipts
1. On the Tools menu, click Options.
2. Click E-mail Options.
3. Click Tracking Options.
4. Under Use this option to decide how to respond to requests for read receipts. Only applies to Internet Mail accounts, click Never send a response.

Turn off automatically acceptance of meeting requests
5. In Outlook, on the Tools menu, click Options, and then click Calendar Options.
6. Under Advanced options, click Resource Scheduling.
7. Clear the Automatically accept meeting requests and process cancellations check box.
4. Limit the places where you post your e-mail address Be cautious about posting your e-mail address on public Web sites, such as newsgroups, chat rooms, bulletin boards, and so forth. When visiting public sites, you might want to use an e-mail address that is different from your main e-mail address. Remove your e-mail address from your personal Web site. Whenever you list or link to your e-mail address, you increase your chances of being spammed.
5. Review the privacy policies of Web sites When you sign up for online banking, shopping, or newsletters, review the privacy policy of the site carefully before you reveal your e-mail address or other personal information. Look for a link or section (usually at the bottom of the Web site's home page) called "Privacy Statement," "Privacy Policy," "Terms and Conditions," or "Terms of Use." If the Web site does not explain how your personal information will be used, consider not using the services at that site.
6. Watch out for check boxes that are already selected When you shop online, companies sometimes add a check box that is already selected, which indicates that it is fine with you if the company sells or gives your e-mail address to other businesses (or "third parties"). Clear this check box so that your e-mail address is not shared.
7. Don't reply to spam Never reply to an e-mail message — not even to unsubscribe from a mailing list — unless you know and trust the sender, such as when the e-mail message comes from a service, an online store, or newsletter that you have signed up with. Answering spam just confirms to the spammer that your e-mail address is an active one.
8. If a company uses e-mail messages to ask for personal information, don't respond by sending a message Most legitimate companies will not ask for personal information to be sent in e-mail. Be suspicious if they do. Such a request could be a spoofed e-mail message disguised to look like a legitimate one. This tactic is known as phishing. If the possible spam appears to be sent by a company that you do business with — for example, your credit card company — then call the company to verify that they sent it, but don't use any phone number that is provided in the e-mail. Instead, use a number that you find by using other means, such as directory assistance, a statement, or a bill. If the request is a legitimate one, the company's customer service representative should be able to assist you. The Junk E-mail Filter also includes phishing protection to help identify and disable suspicious messages.
9. Don't contribute to a charity in response to a request sent in e-mail Unfortunately, some spammers prey on your goodwill. If you receive an e-mail appeal from a charity, treat it as spam. If the charity is one that you want to support, locate their telephone number or Web site to find out how you can make a contribution.
10. Don't forward chain e-mail messages Besides increasing overall e-mail volume, by forwarding a chain e-mail message you might be furthering a hoax — and meanwhile, you lose control over who sees your e-mail address.

How to Change the order of folders in the Navigation Pane


Folders in the Mail Folders section of the Navigation Pane are listed alphabetically, which cannot be changed. But in Favorite Folders you can add as many folders as you like and arrange them in any order. The high visibility position at the top of the Navigation Pane makes Favorite Folders a great place for high priority folders. You can duplicate any of the mail folders in the Navigation Pane and, if you add enough folders to Favorite Folders, it can expand and become your main entry point to your mail folders.
If your other Microsoft Office Outlook folders, such as Calendar or Contacts, become less visible, you can always rely on the folder buttons at the bottom of the Navigation Pane to access your items in those folders

What is e-mail accounts


Outlook supports Microsoft Exchange, as well as POP3 and some HTTP e-mail accounts. Your Internet service provider (ISP) or e-mail administrator can provide you with the configuration information that you need to manually set up your e-mail account in Outlook.

For most accounts, Outlook can automatically detect and configure the account by using just a name, an e-mail address, and a password. Most people need only one profile. However, sometimes you might find it useful to have more than one profile. For example, you might want one profile for work and another profile for home. Also, if other people use the same computer that you do, their e-mail accounts and settings can be kept in a separate profile, under a different profile name.

Note For Outlook Express users, profiles in Outlook are similar to identities in Outlook Express. Outlook profiles have no relation to the hardware and software profiles in the Microsoft Windows operating system.

Depending on your needs, you can add several e-mail accounts in a single Outlook user profile. For example, you can add an Exchange account to handle your business e-mail and then add an Internet e-mail account, such as a POP3 account from your ISP, to process your personal e-mail. Profiles can contain all of your e-mail accounts, but there is a limit of one Exchange account per profile.
