When you update from a previous version, you are asked if you want to keep duplicates if you are using a pst file for your backup. When you install Outlook 2007 it automatically brings in your old Outlook or Outlook Express messages and addresses. If you import the "old" pst file you may get the duplicates.

What about new installs?

I have seen the same effect (in some cases) in new installs also. I am just as confused why it does not always do it. After much research I do not see a real solution. It appears you can BUY a plug in to solve it. These programs appear to cost around $30.00. I feel it just is not worth doing that. In spite of the fact you have to work a little more by deleting the duplicate e-mails.

Are there other solutions?

Yes and no! You could try other e-mail clients such as Hotmail, gmail or Thunderbird. They are ok but mostly do not have the same functions as outlook.

If you have entered more than one email setup with the same pop server and SMTP you will get double messages. You need to eliminate one of the setups.

Here is what I found on one Blog:
1. You must have at least one rule set for the "Rules and Alerts" selection to show up.
2. Select "Rules and Alerts" from the tool menu.
3. Check under "Rule Description" if there are some that are then delete one of them.
4. After you delete the rules recreate them again.

I did try this. It does work (at least in my case).

You need to ask yourself what will work for you. I personally like Outlook because it has e-mail and scheduling all in the same place. You can prioritize and set rules for your messages also.

What I do not like about Outlook?

I wish it would have a better way of backing it up. Although they do provide a way to do it, I feel it is too deep in the file structure and the average person will not even think of backing it up. If it were a little more automatic I think it would be better. I think a scheme similar to QuickBooks would be good. At least it asks you if you want to. If you don't back it up and your computer crashes you will lose all your contacts and messages.

On my Core 2 Duo with 2GB of RAM Outlook 2007 originally took a good 20 seconds to fire up from a fully booted PC and appeared to be constantly sluggish. So what can be done about it?

Tip 1: Delete attachments

A little-known feature in Outlook is the ability to keep an email but delete one or several attachment. Firstly, sort your inbox by file size (descending) and open a message (by double clicking so it opens in a new window) where you no longer wish to keep the attachment. Right click over the attachment and select Remove. Now save the email, repeat with all relevant emails in this mailbox and then repeat in any other mailboxes (including your sent items).

Tip 2: Split emails into Archives

Maybe you disabled the autoarchive facility when you first saw it because you didn't understand it? Archiving old emails into a separate file still allows you to access less frequently used material when required but keeps your system running faster as it does not have to trawl through all of this rendundant content regularly. Click File | New | Outlook Data File. Enter a name for the file - a new folder will now appear in the folder list on the left. When you open Outlook for the first time in Office 2007, you'll need to configure it to retrieve and send your mail. In addition, you may need to set up folders to organize your incoming messages, as well as mail you've already read.

1. Disable RSS Feeds in Microsoft Outlook 2007

Microsoft Outlook 12 installs with a set of RSS feeds - if you are not using Outlook to read RSS feeds, it's best to remove them from Outlook so that no resources are spent in synchronization of these feeds with the web.

Goto Tools - Account Settings - RSS Feeds. Select all the RSS feeds and hit the Remove button.

2. Disable Outlook Add-Ins You No Longer Use

Problems opening Outlook folder sharing invitations

In the Outlook mailbox that is located on an Exchange Server, you receive a message from a user who uses Microsoft Office Outlook 2007 that is connected to Exchange Server. The message invites you to view one of the user’s shared Outlook folders. However, the message does not have an option that enables you to access the shared Outlook folder.

This types if problem occurs if the sender of the sharing invitation is running Outlook 2007 and the recipient of the sharing invitation is running an earlier version of Outlook 2007.

You can use one of the following two methods to work around

use Method 1:
Open default Outlook folders:
o Calendar
o Contacts
o Inbox
o Journal
o Notes
o Tasks
If you are invited to view a folder that is not the default Outlook folder,

use Method 2: Open nondefault Outlook folders.

Method 1: Open default Outlook folders

If you are invited to view a default Outlook folder, the words "Microsoft Exchange" will appear before the name of the folder in the sharing invitation. For example, if the sender shares the Contacts folder, the name of the folder is "Microsoft Exchange Contacts" in the sharing invitation.

To open a default Outlook folder, follow these steps:
1. In the sharing invitation, notice the name of the Outlook folder that you want to view.
2. On the File menu, point to Open, and then click Other User's Folder.
3. In the Open Other User's Folder dialog box, type the name of the user who owns the folder in the Name box, click the name of the Outlook folder that you noticed in step 1 in the Folder type box, and then click OK.

You will notice that the shared Outlook folder appears in the Outlook folder list pane.

If you receive an error message or cannot open the shared folder after you follow these steps, contact the sender of the sharing invitation to make sure that you have at least the Reviewer permissions to the shared mailbox on the Exchange Server.

To give you the Reviewer permissions to the shared mailbox, the owner of the shared folder can follow these steps:

1. In Outlook 2007, right-click Mailbox - UserName, and then click Change Sharing Permissions.
2. Click the Permissions tab, and then click Add.
3. In the Add Users dialog box, specify the user who you want to share the folder to, click Add, and then click OK.
4. In the Name list, click the name of the user who you added, click Reviewer in the Permission Level box, and then click OK.

Method 2: Open nondefault Outlook folders
You can view the nondefault Outlook folders just as easily as you can view the default Outlook folders. If you are invited to view a nondefault folder, the words "Microsoft Exchange" will not appear before the folder name in the sharing invitation.

To open a nondefault Outlook folder, follow these steps:
1. In Outlook, click E-mail Accounts on the Tools menu.
2. In the E-mail Accounts dialog box, click View or change existing e-mail accounts, and then click Next.
3. Click your Exchange Server account, and then click Change.
4. Click More Settings.
5. In the Microsoft Exchange Server dialog box, click the Advanced tab, and then click Add.
6. In the Add Mailbox dialog box, type the name of the owner of the shared folder, and then click OK.
7. Click OK, click Next, and then click Finish.
8. In the navigation pane, expand Mailbox – UserNameOfFolderOwner, and then click the folder that the user shared to you.

If you receive an error message or cannot open the shared folder after you follow these steps, contact the sender of the sharing invitation to make sure that you have at least the Reviewer permissions to the sender’s shared mailbox on Exchange Server.

In Outlook Most of the user have problem with unknown message. Their Outlook keeps sending unknown messages.This problem seems to be most common with IMAP accounts. In many cases the messages are undeliverable and are returned to your mailbox as an NDR.

We are seeing that from users that suspect Outlook is ending Spam. Most of the users think that their computer is infected with some spyware or unknown spambot. but it's not true. it's a bug in how Outlook 2007 responds to read Receipt request for junk Email.

Mostly Spam occasionally includes requests for read receipts. In many of the cases this is so the spammer can check for valid email addresses but most of the time it’s not intentional or the spammer just wants to be doubly annoying since the sender’s address is invalid.

Main Causes of this issue:

Mainly in Microsoft outlook Newer Version Of Outlook offer the ability to control, If read receipts are sent but there may be a bug with IMAP accounts and read receipts in Outlook 2007. When you move messages

with a receipt request to the Junk E-mail folder and empty the Junk E-mail folder using another client, the setting in Tools, Options, Email Options, Tracking Options may be ignored.

The steps to repro are as follows:

1. Send yourself some messages with receipts requested and move them to Junk E-mail.
2. Sync with IMAP and update all folders then close Outlook.
3. Empty junk email folder using a different client.
4. Reopen outlook.
5. When outlook updates the folder, it ignores the Tracking setting and always returns receipts as it syncs the junk mail folder, purging the messages deleted from the other client.

Workaround

Until Microsoft releases a fix, do the following:

1. Always mark messages as read before emptying the Junk Email folder.
2. Always empty the Junk Email folder from Outlook.

If you Still do not want to send receipts back, set your Microsoft Outlook to never ask and never send, otherwise set Your microsoft Outlook to always ask before sending.

POP3 Login Fails for Exchange Server 2007 Users With Long UPN

This problem occurs because Exchange Server 2007 has its “MaxCommandSize” setting for POP3 configured to use the value "40" by default. This limits the maximum size of a single command to 40 bytes. Some users with long UPN (like testuserwithverylongname@myemaildomainame.com) may fail to connect due to this limit.

Resolution

You can resolve this problem through following method:

Method 1: Increase the value of MaxCommandSize from Exchange Management Shell

1. Click Start, click All Programs, click Microsoft Exchange Server 2007 and click Exchange Management Shell.
2. Run the following cmdlet to verify the current value of MaxCommandSize:
Get-POPSettings
In the output, the value of MaxCommandSize is 40 by default.
3. Run the following cmdlet to increase the value of MaxCommandSize:
Set-POPSettings -MaxCommandSize 46
In this example, we increased it to 46. The possible values are from 40 to 1024 (bytes).
4. Restart the Microsoft Exchange POP3 service.

Method 2: Increase the value of MSExchPopImapCommandSize by using the Active Directory Service Interfaces (ADSI) Edit snap-in.

To do this, follow these steps:

Note: ADSI Edit is included with the Microsoft Windows Server 2003 Support Tools. To install the Windows Server 2003 Support Tools, double-click Suptools.msi in the Support\Tools folder on the Windows Server 2003 CD.

Warning: If you use the ADSI Edit snap-in, the LDP utility, or any other LDAP version 3 client, and you incorrectly modify the attributes of Active Directory objects, you can cause serious problems. When Windows Vista was released on January 2007. everyone wanted to have that new operating system. It was suppose to be so good and better than anything else at that time. But, soon after the release, Windows Vista users have discovered that Vista isn’t everything that they have expected. Actually, it wasn’t even close to the great operating system that Microsoft was trying to convince everyone.

A problem that bothers most of the users is Vista’s incompatibility with software that was normally used and without any problems on Windows XP. That problem was found at the begging of Vista and a year after that problem is still here. If some things don’t change soon, Vista will not be popular in near future either.

Among dozens of problems you get when using Vista, one is just making more trouble than the others. That problem is related to Outlook Express 2002. If you can remember right now, before using your Outlook you have to set up your account by filling in your passwords, user ID, server name and e-mail addresses. And of course, you check the option which will save all of your passwords. That’s it. You can now use your Outlook. But, where is the problem you ask? Well, the problem starts the second time you open your Outlook. When you open it and try to send or receive your e-mails a small window pops-up with your user ID info, server name and with a blank field for passwords. If you go to your account settings you will see that all of yours previously written passwords are now gone. And that’s your problem. You have to write password every time you open Outlook Express.

You can find many complaints to this problem on the internet, and a very few good solutions. Maybe the best way to avoid such a problem is to stick with Windows XP and not using Vista, but that’s up to you. Of course, Microsoft is very aware of this problem and because of that it has put some solutions for fixing it on their official Help & Support page. Too bad that their solutions aren’t useful to all users, but there is always an alternative. Some users have written their own solutions on many community boards, but again they don’t work for everyone. I suggest you to try them all until you find what’s good for you.

Here is one solution for this problem:

Back up your registry and remove the user account information from the "Protected Storage System Provider" subkey. Then, reenter your password options.

To do this, follow the steps for the version of Windows that you are using.

Note the the steps listed in this section should not be used on a computer running Windows Vista.
Back up the registry key
1. Click Start, and then click Run.
2. In the Open box, type regedit, and then click OK.
3. Locate and then click the following registry key:
HKEY_CURRENT_USER\Software\Microsoft\Protected Storage SystemProvider
4. On the File menu, click Export.
5. In the Save in box, select a location where you want to save the .reg file.
6. Type a file name in the File name box, and then click Save.
7. On the File menu, click Exit.

Remove the user account information
Important Do not remove the main Protected Storage System Provider key. This key is not automatically regenerated. If you do not have password retention problems and you do not remember your password, deleting the user subkey may cause you not to be able to retrieve your mail.

Note If you use Windows XP, you must have administrator permissions to edit the system registry.
1. Exit all programs.
2. Click Start, click Run, type regedit in the Open box , and then click OK

2. Block pictures in HTML messages that spammers use as Web beacons Office Outlook 2007 has an additional anti-spam feature. By default, this feature blocks automatic picture downloads and other external content in messages if the content is linked to a server. If you open a message that has external content when this feature is turned off, the external content downloads automatically, inadvertently verifying to the server that your e-mail address is a valid one. Your e-mail address can then be sold to a spammer. You can unblock external content for messages that come from sources that you trust. 3. Turn off read and delivery receipts and automatic processing of meeting requests Spammers sometimes resort to sending meeting requests and messages that include requests for read and delivery receipts. Responding to such meeting requests and read receipts might help spammers to verify your e-mail address. You can turn off this functionality. However, read and delivery receipts and automatic processing of meeting requests are useful features that you should not be afraid to use within a secure corporate network.
Note Delivery receipts can be turned off only by your e-mail server administrator.
Turn off read receipts
1. On the Tools menu, click Options.
2. Click E-mail Options.
3. Click Tracking Options.
4. Under Use this option to decide how to respond to requests for read receipts. Only applies to Internet Mail accounts, click Never send a response.

Turn off automatically acceptance of meeting requests
5. In Outlook, on the Tools menu, click Options, and then click Calendar Options.
6. Under Advanced options, click Resource Scheduling.
7. Clear the Automatically accept meeting requests and process cancellations check box.
4. Limit the places where you post your e-mail address Be cautious about posting your e-mail address on public Web sites, such as newsgroups, chat rooms, bulletin boards, and so forth. When visiting public sites, you might want to use an e-mail address that is different from your main e-mail address. Remove your e-mail address from your personal Web site. Whenever you list or link to your e-mail address, you increase your chances of being spammed.
5. Review the privacy policies of Web sites When you sign up for online banking, shopping, or newsletters, review the privacy policy of the site carefully before you reveal your e-mail address or other personal information. Look for a link or section (usually at the bottom of the Web site's home page) called "Privacy Statement," "Privacy Policy," "Terms and Conditions," or "Terms of Use." If the Web site does not explain how your personal information will be used, consider not using the services at that site.
6. Watch out for check boxes that are already selected When you shop online, companies sometimes add a check box that is already selected, which indicates that it is fine with you if the company sells or gives your e-mail address to other businesses (or "third parties"). Clear this check box so that your e-mail address is not shared.
7. Don't reply to spam Never reply to an e-mail message — not even to unsubscribe from a mailing list — unless you know and trust the sender, such as when the e-mail message comes from a service, an online store, or newsletter that you have signed up with. Answering spam just confirms to the spammer that your e-mail address is an active one.
8. If a company uses e-mail messages to ask for personal information, don't respond by sending a message Most legitimate companies will not ask for personal information to be sent in e-mail. Be suspicious if they do. Such a request could be a spoofed e-mail message disguised to look like a legitimate one. This tactic is known as phishing. If the possible spam appears to be sent by a company that you do business with — for example, your credit card company — then call the company to verify that they sent it, but don't use any phone number that is provided in the e-mail. Instead, use a number that you find by using other means, such as directory assistance, a statement, or a bill. If the request is a legitimate one, the company's customer service representative should be able to assist you. The Junk E-mail Filter also includes phishing protection to help identify and disable suspicious messages.
9. Don't contribute to a charity in response to a request sent in e-mail Unfortunately, some spammers prey on your goodwill. If you receive an e-mail appeal from a charity, treat it as spam. If the charity is one that you want to support, locate their telephone number or Web site to find out how you can make a contribution.
10. Don't forward chain e-mail messages Besides increasing overall e-mail volume, by forwarding a chain e-mail message you might be furthering a hoax — and meanwhile, you lose control over who sees your e-mail address.

How to Change the order of folders in the Navigation Pane

Folders in the Mail Folders section of the Navigation Pane are listed alphabetically, which cannot be changed. But in Favorite Folders you can add as many folders as you like and arrange them in any order. The high visibility position at the top of the Navigation Pane makes Favorite Folders a great place for high priority folders. You can duplicate any of the mail folders in the Navigation Pane and, if you add enough folders to Favorite Folders, it can expand and become your main entry point to your mail folders.
If your other Microsoft Office Outlook folders, such as Calendar or Contacts, become less visible, you can always rely on the folder buttons at the bottom of the Navigation Pane to access your items in those folders

Outlook E-mail account types

POP3 Post Office Protocol 3 (POP3) is the leading e-mail account type on the Internet. With a POP3 e-mail account, your e-mail messages are downloaded to your computer and then usually deleted from the mail server. The main disadvantage of POP3 accounts is the difficulty to save and view your messages on multiple computers. Also, messages that you send from one computer are not copied to the Sent Items folder on the other computers. There are some workarounds for these issues.

IMAP With an Internet Message Access Protocol (IMAP) account, you have access to mail folders on the mail server, and you can store and process mail without downloading it to the computer that you are working on. Thus, you can use a different computer to read your messages wherever you are. IMAP can save you time because you can view the headers of your e-mail messages — who the message is from and the subject — and then choose to download only those messages that you are interested in reading. Your mail is saved on the mail server, which is usually safer, and is backed up by your mail administrator or ISP.

MAPI Messaging Application Programming Interface or MAPI is used in Outlook with a mail server that is running Exchange. MAPI is a lot like IMAP, but it provides many more features when you use it from within Outlook with an Exchange account.

HTTP These accounts use a Web protocol to view and send e-mail. HTTP accounts include Windows Live Mail. Outlook does not natively support HTTP accounts, but there are add-ins that allow you to use Outlook with certain providers. For example, Microsoft Outlook Live includes the MSN Connector for Outlook, which allows you to access your Windows Live Mail account from within Outlook.

What is an e-mail profile?

E-mail profiles are what Outlook uses to remember which e-mail accounts you use and where the data for each account is stored. Each profile provides Outlook Support with the following information:
What account information to use This information includes the user name, display name, e-mail server name, and Internet service provider (ISP) (ISP: A business that provides access to the Internet for such things as electronic mail, chat rooms, or use of the World Wide Web. Some ISPs are multinational, offering access in many locations, while others are limited to a specific region.) account password.
Where the e-mail data is delivered and stored In Outlook, data is delivered and stored either on the e-mail server or a in .pst file on your computer. This data includes rules, messages, contacts, calendars, notes, tasks, journals, Search Folders, and other settings.
Outlook e-mail profiles are stored in the Windows registry. When Outlook starts, it retrieves the profile information from the registry.
You use the Mail icon in Control Panel to access options for configuring Outlook e-mail profiles. The Mail icon won't appear unless you have Outlook installed and have run the program at least one time.
When you run Outlook for the first time, a startup wizard guides you through the process of creating a new profile. The profile thus created runs whenever you start Outlook. Most people maintain only one profile — however, you might sometimes find it useful to have more than one. For example, you might want to use one profile for work mail and a second profile for personal mail. Also, if other people use the same computer that you do, their accounts and settings can be kept in separate profiles that have different names.
You cannot use passwords to protect Outlook profiles. To help protect your Outlook data from intrusion by other people, you should use a password-protected Windows user account.

A basic profile consists of one or more e-mail accounts and a storage file. A private individual might have an Internet e-mail account, such as a POP3 account, while corporate workers might have a Microsoft Exchange account. Accounts of other types (including IMAP4 and HTTP accounts) can be added to any profile, and so can additional storage files (such as an Archive.pst file for keeping older messages). Sometimes extra services, such as fax and address book directories, may be included as well.
While a profile can include multiple Internet-type accounts, it can include only one Exchange account.

Add names to your Safe Senders List

If the Junk E-mail Filter mistakenly marks an e-mail message as junk, you can add the sender of that message to the Safe Senders List. To quickly add a sender, domain name, or mailing list name to the Safe Senders List, right-click a message from a source that you consider safe. On the shortcut menu, point to Junk E-mail, and then click Add Sender to Safe Senders List or Add Sender's Domain (@example.com) to Safe Senders List.
To remove a name from the Safe Senders List, on the Safe Senders tab, click the name that you want to remove, and then click Remove.

The Junk E-mail Filter evaluates each incoming message based on several factors, including the time when the message was sent and the content of the message. The filter does not single out any particular sender or message type, but instead analyzes each message based on its content and structure to discover whether or not it is probably spam. The Junk E-mail Filter is turned on by default, and the protection level is set to Low. This level is designed to catch the most obvious spam. You can make the filter more aggressive by changing the level of protection. Also, the Junk E-mail Filter can be updated periodically to protect against the latest techniques that spammers use to spam your Inbox.

What is e-mail accounts

Outlook supports Microsoft Exchange, as well as POP3 and some HTTP e-mail accounts. Your Internet service provider (ISP) or e-mail administrator can provide you with the configuration information that you need to manually set up your e-mail account in Outlook.

For most accounts, Outlook can automatically detect and configure the account by using just a name, an e-mail address, and a password. Exchange account users usually do not not have to type any information, because Microsoft Office Outlook 2007 can identify the network credentials used to connect to the Exchange account.

E-mail accounts are contained in profiles. A profile is comprised of accounts, data files, and settings that contain information about where your e-mail is stored. A new profile is created automatically when you run Outlook for the first time, and after that the profile runs each time that you start Outlook.

Most people need only one profile. However, sometimes you might find it useful to have more than one profile. For example, you might want one profile for work and another profile for home. Also, if other people use the same computer that you do, their e-mail accounts and settings can be kept in a separate profile, under a different profile name.

Note For Outlook Express users, profiles in Outlook are similar to identities in Outlook Express. Outlook profiles have no relation to the hardware and software profiles in the Microsoft Windows operating system.

Depending on your needs, you can add several e-mail accounts in a single Outlook user profile. For example, you can add an Exchange account to handle your business e-mail and then add an Internet e-mail account, such as a POP3 account from your ISP, to process your personal e-mail. Profiles can contain all of your e-mail accounts, but there is a limit of one Exchange account per profile.

Install IRM for e-mail messages

Information Rights Management (IRM), available in Microsoft Office Outlook 2007, allows individuals to specify access permissions to e-mail messages. By using IRM, it helps prevent sensitive information from being printed, forwarded, or copied by unauthorized people. Your organization must install and deploy IRM before you can use it.

Running Windows Vista The Windows Rights Management Services (RMS) Client is already installed. Go to the following section, Step 2: Download permissions.

Running Microsoft Windows XP The Windows Rights Management Services (RMS) Client Service Pack 1 (SP1) must be installed on your computer either by you or your RMS administrator. To install IRM, you should start with Step 1: Install the Windows Rights Management Services (RMS) Client.

Install the Windows Rights Management Services (RMS) Client

If you use a computer that is running Windows Vista, the Windows Rights Management Services (RMS) Client is already installed.

In Windows XP, click the Start button, and then click Control Panel.
Click Add or Remove Programs, and then click Add or Remove Programs.
Click Add New Programs.
In the list of programs, click Windows Rights Management Services Client, and then click Add.

Note In Classic view, double-click Add or Remove Programs, and then in the left pane, click Add New Programs. In the list of programs, click Windows Rights Management Services Client, and then click Add.

Download permissions

The first time that you try to open an e-mail message that uses restricted permission, you must connect to a licensing server to verify your credentials and to download a use license. The use license defines the level of access that you have to a file. This process is required for each file that uses restricted permission. In other words, content with restricted permission cannot be opened without a use license. Downloading permissions requires that Microsoft Office send your credentials (which includes your e-mail address) and information about your permission rights to the licensing server. Information that is contained in the e-mail message is not sent to the licensing server. For more information, read the Privacy Statement.

Configuring IRM policies and permissions

A Windows Rights Management Services (RMS) administrator configures company-specific IRM policies that define who can access information and what level of editing is permitted for an e-mail message. For example, a company administrator might define a rights template called "Company Confidential," which specifies that an e-mail message that uses that policy can be opened only by users inside the company domain. Custom permissions are those created by your e-mail administrator and based on company policies. If you do not see a specific permission in the Set permission on this item list, it might be because one of the following reasons.

The permission level is not available to you or might not be included in your company's IRM policy. You should submit a request to your e-mail administrator to make any changes.

How to format Disk

Formatting a disk erases all information on that disk.

Do one of the following:

Windows Vista

If the disk that you want to format is a floppy disk, insert it into its drive. Otherwise, skip to step 2.
Click the Start button, and then click Computer.
Right-click the disk that you want to format, and then click Format.
Select the options that you want.
Click Start.

Microsoft Windows XP

If the disk that you want to format is a floppy disk, insert it into its drive. Otherwise, skip to step 2.
In Windows XP, click Start, and then click My Computer.
Click the disk that you want to format.
On the File menu, click Format.
Select the options that you want.
Click Start.

Notes

The Quick Format option (Format dialog box) removes files from the disk without scanning the disk for bad sectors. Select this check box only if the disk has been previously formatted and you are sure that the disk is not damaged.

For information about any of the options in the Format dialog box, click the question mark in the upper-right corner of the dialog box, and then click the option.
